Job Description
- Type correspondence, reports and other documents.
- Receive and direct visitors and clients.
- Answer phones; direct calls and respond to inquiries.
- General clerical duties including photocopying, fax and mailing.
- Maintain electronic and hard copy filing system.
- Retrieve documents from filing system.
- Handle requests for information and data.
- Resolve administrative problems and inquiries.
- Prepare written responses to routine enquiries.
- Maintain office files; Open and distribute the mail.
- Prepare agendas for meetings and prepare schedules.
- Record, compile, transcribe and distribute minutes of meetings.
- Prepare and modify documents including correspondence, reports, drafts, memos and emails.
- Maintain office supply inventories.
- Coordinate maintenance of office equipment.
- Review and edit reports to the Supervisor.
- Verify attendance, hours worked, compile employee time and post information in time sheets and designated records.
- Keep track of leave time, such as vacation, personal, and sick leave, for employees.
- Schedule and coordinate meetings, appointments, hotel and travel arrangements for supervisors.
- Perform other miscellaneous related duties as requested by the Supervisor.
